Before You Build Custom Software: 7 Questions to Answer First

In my experience, software projects rarely go wrong in the code. They go wrong in the first conversation, when nobody knows exactly what to build. The developer guesses, the quote is vague, and the first version grows until it never ships.

You can avoid most of that with seven questions. Answer them before your first call with any developer, including me.

1. What is slow or manual today?

Name the exact task. "Everything" can't be built. "Our team retypes every WhatsApp order into a spreadsheet" can. The more specific the pain, the smaller and cheaper the first version. If leads are part of that pain, read why leads go cold after hours first.

2. Who will use it, and on which devices?

A warehouse team on phones needs different screens than an accountant on a laptop. Write down the roles and the devices. It changes the design more than anything else.

3. What must it connect to?

Accounting software, WhatsApp, card payments, your website, a CRM you already use. The connections often decide the cost, so list them early.

4. Which reports do you check every week?

If you can name them, the system can prepare them automatically. "Sales by branch and low stock, every Monday" is a perfect answer. This is exactly what an ERP for stock and sales or a POS and ledger system is built around.

5. What does "done" look like in 3 months?

Pick one clear result, for example "orders go from WhatsApp to invoice without retyping". One result keeps the project small, fast and easy to test.

6. Who owns the data, and can you export it?

Plan your exit before you start. Your customer data should always stay yours, in a format you can take with you.

7. Buy, build, or a mix of both?

You don't always need custom software. Often the best answer is to buy the standard core (payroll, email, accounting) and build the small piece that's unique to how you work, then connect them. For a real example of a focused build, see how a custom warehouse inventory system replaced spreadsheets.

What to do with your answers

Bring them to your first call. You'll get a clearer quote, and you'll quickly see whether a developer understands your business or just your budget.

If you want a second opinion, send me your answers through the contact page or on WhatsApp at +92 312 7973331. I'll reply with a clear, written plan within 24 hours, including what I'd build first and what I'd leave out.
